Is Mindbody worth it for a small Pilates studio?

For most small Pilates studios, we do not think so. We demo to these studios every week, and a large share of them are leaving Mindbody or deciding against it. What they tell us is consistent, and it is the reason we built StudioGrowth the way we did.

What we mean by a small studio

We mean an independent studio, founder led. The owner still teaches, still answers the messages, and still does the books.

That is a different business from a chain, and it needs different things from its software. Most software in this category is sold to both.

Why Mindbody is on every shortlist

Two kinds of studio come to us. Some have used Mindbody and are looking to move. Others are picking their first software and have Mindbody on the list.

Both groups arrive with the same starting point, and it is easy to see why. Mindbody has been in the market since 2001. It gets recommended in Facebook groups, by instructors who used it at another studio, and by consultants. When you ask what studio software to use, it is the first name you hear.

Being the first name you hear is not the same as being the right fit. What most Pilates studios run on goes into how it got there.

What we actually hear on demos

Two things come up again and again.

The first is the gap between the demo and the budget. Owners tell us they saw impressive features in a sales demo. Then they found the version they could afford was not the version they were shown. What they end up with is thinner than what sold them.

The second comes from people who have actually used it. They say it feels complicated. Not broken, and not missing things. Just heavier than an independent studio needs, with more screens and more steps between wanting to do something and doing it.

Neither of these is a criticism of the product. Mindbody serves large multi site businesses well and it was built to. A small studio is a different customer, and it feels different to be one.

We hear this often enough, from enough owners, that we treat it as the answer rather than an opinion. For a small Pilates studio we think there is a better fit, and we think it is ours.

You get what a Pilates studio actually uses

Not a longer feature list. The same short list of things you do every day, handled properly.

  • Group classes and appointments that check against each other. An instructor teaching a class cannot be booked for a private in that hour.
  • Duets as a real session type. A private session with a capacity of two, not a workaround.
  • Standing appointments. A client holds the same slot week after week.
  • Four waitlist modes. You decide who gets a cancelled spot.
  • Packages you control per client. Change one person's membership without touching anyone else's.
  • A client app and a staff app. Clients book in one tap, instructors run their own day.

When you outgrow what you started on, you move up a plan. You do not move platforms, and nothing you built has to be rebuilt.

How to tell which side of the line you are on

Ask yourself three things.

Are you the person who will be setting this up, and the person who will call when it goes wrong? If yes, weigh support heavily. It is worth more to you than any feature comparison.

Will you use the parts you are paying for? Enterprise reporting and multi site tools are real, and they are worth paying for when you have multiple sites.

Can you find out what it costs without booking a call? If the answer is no, you cannot plan. You will not know what year two looks like until you are in it.

Where this leaves you

Mindbody is worth it for the studios it was built for. If you run several sites and use the tools that come with that, it earns its place.

If you are running your own studio on your own, we think you will be paying for a size you are not. You will also be working harder than you need to. That is what the owners who come to us describe, and it is why we built something else.
